Welcome to Shambala Gatherings. We are an intimate yoga and meditation retreat centre nestled beside a quiet lake in the Swedish forest. These terms and conditions apply to all guests booking a retreat, workshop, or stay at Shambala Gatherings (operated by Shambala Gatherings AB, Sweden). By completing a booking, you confirm that you have read, understood, and agreed to the following.

Making a Booking
Bookings can be made online through our website (shambalagatherings.com) via our WooCommerce booking system. A booking is confirmed only once payment has been received and you have received a confirmation email from us.
All prices are listed in Swedish Kronor (SEK) and are inclusive VAT unless otherwise stated. Prices are per person, per night, and are all-inclusive (accommodation, three meals per day, one daily sauna, and use of shared spaces) during High Season retreats.
Payment
Full payment is required at the time of booking unless an early bird or instalment option is specifically offered for a given retreat. All payments are processed securely via our website.

Guest Cancellation Policy
We understand that circumstances change. Our refund policy is as follows:

3 months to 14 days before start date | 70% refunded |
14 days to 5 days before start date | 50% refunded |
Less than 5 days before start date | No refund |
All cancellation requests must be submitted in writing to us via email or through our contact page. The date of cancellation is the date your written notice is received by us.
We strongly recommend that all guests take out comprehensive travel insurance that covers cancellation costs, as we are unable to make exceptions to this policy regardless of the reason for cancellation.
Cancellations by Shambala Gatherings
In the unlikely event that we need to cancel a retreat (for example, due to insufficient bookings, unforeseen circumstances, or force majeure), we will notify you as soon as possible and offer either a full refund or the option to transfer your booking to an alternative retreat date.
Shambala Gatherings is not responsible for any costs incurred as a result of a cancellation by us, including travel, accommodation outside our centre, or other expenses. We therefore recommend travel insurance.
Transfers & Name Changes
If you are unable to attend, you may transfer your booking to another person, provided you notify us at least 24 hours before the retreat start date. Please contact us to arrange this.
Guest check-in is between 15:00 and 17:00 on the arrival day. Check-out is by 15:00 on the departure day. Early arrivals or late departures may be possible subject to availability — please enquire in advance.
We offer pick-up and drop-off from the nearest train station during High Season retreats. Pick-up times will be communicated in your pre-arrival information. Please let us know your travel plans at least 48 hours before arrival.
We are not responsible for guests’ onward travel arrangements after their stay.
All-inclusive pricing during covers:
All meals at Shambala Gatherings are vegetarian and gluten-free, prepared with predominantly organic ingredients. Please note that trace amounts of gluten may be present due to shared preparation spaces.
We are committed to nourishing every guest. If you have important allergies, or food sensitivities, please inform us at the time of booking or at least one week before your arrival. We will do our best to accommodate you, but cannot guarantee that all specialised requirements can be met.
We observe meal times of 09:00 (breakfast), 13:30 (lunch), and 19:00 (dinner). These may vary slightly depending on the retreat programme.
Silence & Shared Spaces
Shambala operates a period of silence between 21:00 and 10:00, including silent breakfasts. We ask all guests to respect this as a sacred time for stillness. Please keep noise to a minimum during these hours.
We have one nearby neighbour and ask all guests to keep music and noise at a moderate level throughout the day and to refrain from loud activities after 21:00.
Respectful Community
Shambala Gatherings is a space of safety, respect, and openness. We ask all guests to treat fellow guests, teachers, volunteers, and staff with kindness and consideration. Behaviour that is harmful, discriminatory, or disruptive to the wellbeing of others may result in your being asked to leave without refund.
By booking a retreat at Shambala Gatherings, you confirm that you are in a physical and mental condition suitable for participation in the activities offered. If you have any pre-existing medical conditions, injuries, or concerns, please disclose these to the relevant retreat teacher before participating in any sessions.
Yoga, bodywork, breathwork, meditation, and other modalities offered at Shambala Gatherings are not a substitute for medical treatment. We strongly advise you to consult your doctor before attending if you have any health concerns.
Shambala Gatherings and the teachers hosting retreats on our site do not accept liability for injury or illness arising from participation in retreat activities, except in cases of proven negligence.
In the event of a medical emergency, please contact our on-site team immediately. We have a first aid kit on site, and the nearest hospital is reachable by car.
Shambala runs largely through the dedication of our volunteer team. In the spirit of community, we invite retreat teachers to open one class per day to up to four volunteers (in Shakti Hall) or two volunteers (in Buddha Hall), unless the space is fully booked with retreat guests.
Guests are not affected by this arrangement and will always have priority in their booked sessions.
Shambala Gatherings is not responsible for the loss, theft, or damage of guests’ personal property during their stay. We recommend that guests keep valuables secure and take out appropriate travel insurance.
Guests are responsible for any damage caused to the property, facilities, or equipment of Shambala Gatherings during their stay. The cost of repairing or replacing damaged items may be charged to the guest.
We collect and process personal data (name, email, dietary requirements, payment information) solely for the purpose of administering your booking and communicating with you about your retreat. We do not sell or share your data with third parties except as required to fulfil your booking (e.g., payment processing).
By booking with us, you consent to receiving essential communications relating to your booking. You may opt out of our newsletter at any time via the unsubscribe link in any email.

These terms and conditions are governed by the laws of Sweden. Any disputes arising from a booking with Shambala Gatherings shall be subject to the exclusive jurisdiction of the Swedish courts.
